Digital Signage for Hotels — From Lobby to Guestroom

· R52 Alliance Team · 3 min read

The hotel lobby sets expectations for the entire stay. A lobby screen that displays personalised welcome messages for arriving guests, showcases the property’s restaurants and spa, and provides live event information instantly communicates a level of care and sophistication that static printed materials never could.

Digital signage in hotels goes far beyond the lobby, though. The best-performing hotel deployments use screens throughout the property — in restaurants, meeting rooms, fitness centres, corridors and pool areas — as a continuous communication layer between the property and its guests.

Lobby and reception displays

The lobby screen is the first point of digital contact for arriving guests. Its job is to welcome, orient and upsell.

Welcome messages personalised to arriving guests are the most memorable application. When integrated with your Property Management System (the Alliance platform supports Oracle Opera), arriving guest names can be pulled automatically and displayed on the lobby screen as guests check in.

Wayfinding is essential in larger properties. Display floor plans, restaurant directions, pool and fitness centre access, and car park information. Update it seasonally (outdoor pool open/closed, restaurant special events) without touching the screen.

Events and activities — today’s hotel restaurant specials, the week’s events, spa availability, fitness class schedule — give guests reasons to stay on-property and spend money at your outlets.

Local area information — weather, travel conditions, local attractions — adds genuine value and positions your hotel as a knowledgeable local resource.

Restaurant and food & beverage displays

Hotel restaurants typically serve multiple purposes — breakfast service, all-day dining, bar service, afternoon tea — with dramatically different menus and pricing at different times. Digital menu boards with dayparting automation handle this seamlessly, switching from the breakfast menu to the lunch menu to the dinner menu at preset times without any manual intervention.

Digital menu boards also allow instant price changes, 86ing sold-out items (automatically via POS integration), and inserting daily specials that weren’t planned when the menu was originally designed. The Alliance platform integrates with Toast, Square and Lightspeed POS systems for real-time menu board synchronisation.

Wine and spirits displays in hotel bars benefit from descriptive digital menus that go beyond name and price to describe origin, flavour profile and pairing suggestions — the equivalent of having a sommelier on staff for the whole service period.

Meeting and conference room signage

Business hotels live and die on their meetings business. Digital signage improves the meeting experience in two key ways: room availability displays and event directory boards.

Room availability displays outside each meeting room show the current booking (room name, meeting title if public, occupied/available status) and upcoming bookings for the day. The Alliance platform integrates with Google Calendar and Microsoft 365 to sync this information automatically. Guests can see at a glance whether a room is available for an ad-hoc meeting.

Event directory boards in hotel lobbies and near lifts list the day’s events — which companies are holding meetings, which rooms they’re in, and what time they start and end. This essential information is currently still managed with printed or whiteboards in many hotels.

Pool, fitness and wellness areas

Fitness centres and spa areas benefit from motivational content, class timetables and facility information displayed on screens that can be seen while guests are exercising.

Class timetables for group fitness, yoga and spa treatments can be synced from booking software. When a class fills up, the screen updates automatically — no manual work for staff.

Safety information — pool depth, lifeguard on duty status, diving restrictions — displayed on permanent screens eliminates the need for printed notices that fade and tear.

Operational uses of hotel digital signage

Beyond guest-facing screens, hotels use the Alliance platform for operational purposes:

Back-of-house screens in staff areas display shift schedules, occupancy levels, that day’s group arrivals, housekeeping priorities and safety reminders.

Kitchen display systems in hotel restaurants coordinate food service, with ticket management replacing paper dockets in many properties.

Energy monitoring dashboards in engineering offices display real-time energy consumption, HVAC status and maintenance tickets.

Getting started

Most hotel digital signage deployments start with the lobby and restaurant. The Alliance platform includes hotel-specific templates for welcome displays, menu boards, event directories and room availability — all customisable to your brand standards.

For multi-property hotel groups, the Alliance enterprise plan provides centralised content management with property-level permissions: corporate marketing can push brand content to all properties while local teams manage property-specific information.
