Meeting Room Display Guide — Book It, Show It, Never Miss a Meeting Again

· R52 Alliance Team · 3 min read

The five-minute scramble before a meeting — finding the room, confirming it’s not double-booked, hunting down an available alternative — wastes an estimated 15 minutes per meeting per attendee. For a 10-person organisation holding 10 meetings a week, that is 25 hours of wasted productivity every week.

Meeting room displays solve this problem entirely. A screen outside each meeting room, synced to your calendar, shows at a glance whether the room is free or occupied, who has booked it, what time the current booking ends, and when the next booking starts.

What you need

Hardware: A small screen (10”–24” works well outside a meeting room), mounted on the wall beside the door. The Alliance Player or a small Android device running the Alliance app both work. For a cleaner installation, some offices use tablet-sized displays with integrated mounting brackets — search for “iPad kiosk mount” or “tablet wall mount” to find purpose-built options.

Software: The R52 Digital Signage Alliance platform, connected to your Google Workspace or Microsoft 365 calendar. The setup takes under 10 minutes once you have the hardware in place.

How it works

  1. Connect your Google Calendar or Microsoft 365 calendar to the Alliance platform via the integrations page
  2. Create a new playlist and add the Room Booking widget
  3. Configure the widget with the specific room’s calendar
  4. Assign the playlist to the display outside that room
  5. The display now shows real-time booking status, automatically synced

Changes made in your calendar system — new bookings, cancellations, extensions — appear on the display within 60 seconds.

What to show on the display

A meeting room display works best when it shows:

  • Large, clear status indicator: green background = room free, red background = room occupied
  • Current meeting title (if not marked private in the calendar)
  • Meeting organiser’s name
  • End time of current booking (or “Free until [time]” for empty rooms)
  • Next upcoming booking: title, time, duration
  • Day’s full schedule as a mini timeline

QR code for ad-hoc booking: A QR code on the display that links to your room booking system lets people book the room from their phone without going back to their desk. This is particularly popular in hot-desk environments where impromptu collaboration is common.

Calendar privacy settings

Some organisations prefer not to show meeting titles on external displays — particularly in reception areas or shared spaces where visitors might walk by. The Alliance Room Booking widget has a privacy mode that shows only the booking status (free/occupied) and time information without revealing meeting titles or attendee names.

Multi-room installations

For offices with multiple meeting rooms, consider a “room finder” display in the lobby or main corridor that shows the availability of all rooms at a glance. The Alliance platform can aggregate multiple room calendars into a single overview display, letting people quickly identify which rooms are free before walking to them.

Integration with hot desk booking systems

Modern hybrid workplaces increasingly manage not just meeting rooms but entire desk banks through booking software. The Alliance platform integrates with popular workplace management platforms including Robin, Envoy and Condeco to extend digital signage to hot desks and phone booths as well as meeting rooms.

Getting started in 10 minutes

  1. Sign up for a free Alliance account
  2. Go to Integrations → Calendar → Connect Google/Microsoft 365
  3. Create a new playlist → Add widget → Room Booking
  4. Select your room calendar and configure display options
  5. Publish to your display

The Alliance Room Booking widget is included on all plans including the free tier. Start with one room, see how it transforms the booking experience, then roll out across all your meeting spaces.
