Digital screens displaying event agenda at a conference

The Event Display Challenge

Events are complex, temporary environments. Content changes by the hour (session timings, room changes, speaker updates). Screens are deployed for days, not years. Attendees are diverse and may not know the venue layout. And the experience of walking into an event — the first impression — is shaped by the screens they see before they see anything else.

Digital signage addresses all of these challenges when it’s deployed with the right content strategy.

Conference and Summit Signage

Registration and entrance — Welcome screens at entrance greet attendees, display the event name, today’s date, and opening logistics (registration desk location, Wi-Fi credentials, app download QR code).

Main agenda board — The day’s full programme on large screens in the lobby. Session names, speaker names, start times, and room locations. Updated in real time if sessions run late or rooms change.

Session signage — Screens outside each session room display the current session name, speaker, and “Live now” or “Starting at X” status.

Speaker bios — Screens in break areas display speaker bios and headshots, helping attendees identify speakers they want to meet.

Sponsor recognition — Rotating sponsor logos and messages in prominent locations. Tiered recognition (platinum, gold, silver) in proportion to sponsorship value.

Social wall — The event hashtag social wall is a crowd favourite: attendees love seeing their posts on the big screen.

Countdown — Before the opening keynote, a countdown clock builds anticipation.

Exhibition and Trade Show Signage

Hall directories — Stand numbers and exhibitor names on a floor plan display at each hall entrance.

Featured exhibitor spotlight — Rotating promotions for exhibitors who have purchased premium exposure.

Navigation — “You are in Hall B — Hall A and C are through the doors ahead.”

Show information — Opening and closing times, meal breaks, networking events.

Seminar theatre screens — Agenda for the seminar theatre, current speaker name and company, and next session.

Award Ceremony Signage

Pre-ceremony — Nominee lists, sponsor recognition, table plan.

During ceremony — Category display, winner announcement slide, sponsor spot.

Post-ceremony — Winner photography and congratulations display.

The Alliance’s presentation mode allows a single operator to advance slides in sync with the ceremony, using a simple web interface from any device.

Festival and Entertainment Signage

Stage screens — Large LED walls displaying live video and graphics during performances.

Artist schedule — Rolling stage times across all stages, updated when sets run late.

Wayfinding — Map of the site with stage locations, bars, food vendors, medical, and facilities.

Cashless payment — Where cashless wristband systems are in use, top-up instructions and QR codes displayed prominently.

Temporary Deployment

Events require screens that can be deployed quickly, moved if needed, and removed at the end without leaving marks. Recommended deployment:

  • Floor stands (no drilling, freestanding, easy to move)
  • Cable management with velcro ties (not tape — leaves residue)
  • Alliance Players on each screen (pair in 60 seconds, unplug and take when the event ends)
  • Mobile hotspot if venue Wi-Fi is unreliable (the Alliance works over 4G)

Content Management During the Event

One designated content manager can update all screens from a laptop or tablet browser. When the morning keynote runs 20 minutes long and all afternoon sessions shift, the content manager updates the schedule in one place and all screens update simultaneously within 60 seconds.

For high-stakes events, designate a backup content manager and ensure both have the dashboard login and the event content prepared and pre-approved before the doors open.
