Digital Signage for NHS Trusts and Healthcare Systems

Digital screens in an NHS hospital corridor showing patient wayfinding

Healthcare Systems at Scale

A large NHS Trust may manage 10–20 hospitals, dozens of community clinics, and thousands of digital signage screens. Managing this at scale requires enterprise-grade features: role-based access control, centralised governance, emergency communications, and integration with clinical systems.

Centralised Management, Local Flexibility

The challenge for NHS digital signage is balancing Trust-wide governance with the legitimate needs of individual sites to communicate locally relevant information.

The Alliance solves this with a hierarchical permissions model:

Trust level — The Communications Team manages brand standards, emergency alerts, and Trust-wide campaign content. Their content appears on every screen in the network.

Site level — Each hospital has its own content team that manages site-specific announcements, wayfinding, and departmental communications without affecting other sites.

Department level — Individual departments (A&E, oncology, radiology) can manage screens in their own areas, within the brand standards the Trust sets.

Each level can only manage content within their permission scope. A departmental administrator cannot overwrite Trust-wide content.

Patient Information and Health Promotion

NHS Trusts use digital signage for public health campaigns aligned with NHS England priorities:

  • Blood pressure awareness and self-measurement
  • Diabetes prevention programme
  • Mental health and talking therapies (IAPT referral)
  • Smoking cessation and NHS Stop Smoking Services
  • COVID-19 and flu vaccination programmes
  • Cancer screening invitations (breast, cervical, bowel)

The Alliance maintains a pre-cleared content library updated with each NHS England campaign cycle. Content is reviewed by clinical communications experts and meets NHS brand guidelines.

Wayfinding at Hospital Scale

Large district general hospitals are notoriously difficult to navigate. Digital wayfinding at every key junction:

  • Building directories with floor maps
  • Department directions from the main entrance
  • Lift and stairs locations
  • Outpatient department wait times
  • Car park directions and availability

For large teaching hospitals with complex multi-building campuses, the Alliance’s interactive kiosk module allows visitors to search for any department, ward, or service and receive step-by-step walking directions.

Emergency and Incident Communications

NHS Trusts have formal Major Incident protocols. The Alliance integrates with Trust emergency communications systems to:

  • Display major incident alerts on all screens in affected areas within seconds
  • Show specific evacuation routes for each building section
  • Display all-clear messages when the incident is resolved
  • Coordinate with the Trust’s PA system for multi-modal emergency communication

EPRR (Emergency Preparedness, Resilience and Response) teams test the emergency override annually as part of their exercise programme.

Appointment Management

Outpatient departments use digital screens to manage the appointment experience:

  • Today’s clinic list (without patient names visible in the public area)
  • Queue number displays
  • “Please check in at reception” prompts
  • Clinic running time estimates
  • Appointment letter scanning instructions

Integration with the Trust’s Patient Administration System (PAS — typically Lorenzo, Cerner, or TPP SystmOne) allows automatic population of clinic lists.

Staff Communications

NHS staff communications challenges are severe: 70% of NHS staff don’t have a corporate email address. Digital screens in staff areas — staff rooms, locker areas, behind clinical areas — provide a direct communications channel:

  • Trust-wide announcements and CEO messages
  • Mandatory training reminders
  • Staffing alerts and bank shift opportunities
  • Safety alerts and drug alerts
  • HR and payroll information

Data Security and Compliance

NHS deployments require:

  • Data Security and Protection Toolkit (DSPT) aligned practices
  • NHS network connectivity compliance (HSCN compatibility)
  • Cyber Essentials Plus certification (Alliance holds this)
  • GDPR compliance for any patient-adjacent data
  • Information Governance approval for clinical system integrations

The Alliance’s NHS deployment team can provide documentation to support the Trust’s IG process.

Procurement

NHS Trusts typically procure technology through NHS frameworks:

  • Crown Commercial Service frameworks
  • NHS Shared Business Services
  • NHS Supply Chain Technology

The Alliance is available through these frameworks, reducing procurement timeline. Contact the Alliance NHS partnerships team for framework pricing and procurement support.
