Digital Signage for Universities and Higher Education

The University Signage Challenge
A large university campus is a small city. It has buildings named after donors that mean nothing to a first-year student, departments scattered across dozens of buildings, thousands of events happening every week, and a student population that changes 25–30% every year.
Campus digital signage addresses the two persistent challenges: communication and wayfinding.
Campus-Wide Networks
University signage networks are typically among the largest in any sector. A mid-size university might have:
- 50–80 buildings with public digital signage
- 300–500 screens managed centrally
- 10–20 departments with the ability to manage their own content zones
- Multiple campuses in different cities, all connected to one CMS
The Alliance’s enterprise architecture supports this scale — hierarchical permissions, regional management, and consistent branding across the entire network.
Wayfinding and Navigation
Campus wayfinding is a first-year student’s biggest practical challenge. Interactive touchscreen kiosks at key arrival points (main gate, train station entrance, main library) allow students to:
- Search for a building, room, or department by name
- Get a map with the route highlighted
- Find a room by timetable reference (“LT-204 for COMP1001”)
- Find facilities (toilets, cafés, cash machines, accessibility routes)
Static wayfinding screens at building entrances show which departments occupy that building and which floors.
Academic Calendar and Events
Universities run hundreds of events every week. Screens in faculty buildings, the students’ union, and common areas keep the academic community informed:
- Today’s timetabled events in this building
- Upcoming departmental seminars and guest lectures
- Research group seminars and thesis defences
- Student society events
- Sporting fixtures and results
The Alliance integrates with university calendar systems (Microsoft 365, Google Calendar, custom timetabling systems) to pull events automatically.
Research and Academic Achievement
Universities use signage to build institutional reputation by showcasing research and academic achievement:
- “This week in research” highlights — a rotating spotlight on current projects
- Recent publications in top-tier journals
- Research grant awards and collaborations
- Academic staff achievements and media appearances
- Student prize winners and graduate employment destinations
Emergency Alerts and Mass Notification
Campus safety is a critical use of digital signage. The Alliance supports:
- Instant campus-wide alerts pushed from security or estates management to all screens simultaneously
- Alert types: Fire, lockdown, severe weather, campus closure, missing person
- Clear action instructions: “Campus is closed — do not enter. Return tomorrow”
- Override functionality: Emergency content takes priority over all other content and cannot be bypassed
- Post-event recovery: Return to normal content in one action from the control centre
Faculty and Department Screens
Each faculty manages its own screens within the network, with content relevant to its own students and staff:
Engineering faculty:
- Lab schedules and safety notices
- Undergraduate and postgraduate project showcases
- Industry partner announcements and internship opportunities
Business school:
- City careers events and networking evenings
- Bloomberg terminal training schedules
- Rankings and accreditation announcements (AACSB, EQUIS)
Arts and humanities:
- Gallery and exhibition opening information
- Performance schedules (theatre, music, dance)
- Reading lists and recommended resources
Student Union Integration
The students’ union is a significant event and communications hub. The Alliance integrates with student union event management systems:
- Weekly events digest
- Sports club results and fixtures
- Union council and meeting information
- Welfare and support services
- Freshers’ events and welcome week programming
Library and Study Spaces
Library screens serve a different communication purpose:
- Current occupancy of study spaces
- System maintenance notices
- Research skills workshop schedules
- Citation and referencing workshops
- Database access reminders (access resources on and off campus)
Accommodation and Campus Life
Screens in halls of residence and campus accommodation communicate about life outside the classroom:
- Communal area bookings
- Maintenance request reminders
- Quiet hours reminders
- Local community events
- Post office and package collection notices
Open Day Screens
University open days transform the campus. Special open day content is scheduled for key dates:
- Welcome and navigation content
- Faculty showcase content
- Application deadline reminders
- Conversion-focused messaging for visiting prospective students
The Alliance’s scheduling switches to open day content on the morning of the event and returns to normal content the following day, automatically.
