Google Workspace calendar and meeting room availability on office digital screens

Google Workspace and Digital Signage

For organisations using Google Workspace (formerly G Suite), the Alliance integrates directly with Google Calendar, Google Slides, Google Sheets, and Google Drive to bring your existing content and data to digital screens.

Google Calendar Room Booking Display

Display meeting room availability in real time on screens outside each room:

  • Room name and current status (Available / In Use)
  • Current meeting details (name, organiser, end time)
  • Next booking in the room
  • Upcoming meeting schedule for the day

Integration setup:

  1. In the Alliance dashboard, go to Integrations > Google Workspace
  2. Click “Connect Google Workspace”
  3. Sign in with a Google Workspace admin account
  4. Grant the Alliance the following permissions: Google Calendar read access for room resources
  5. In the screen settings, select the calendar resource to display

Room resources: Each meeting room in Google Calendar is a “resource” with its own calendar. The Alliance reads these room calendars to show availability in real time.

Google Slides to Digital Screens

Display Google Slides presentations directly on your screens:

  • Present a corporate deck on lobby screens
  • Rotate through a training presentation in a staff area
  • Display an event programme slide deck in a conference venue

How to publish a Google Slides presentation:

  1. Open your presentation in Google Slides
  2. File > Publish to the web
  3. Copy the published URL
  4. In the Alliance, create a web page content item and paste the URL
  5. Set the content duration and add it to a playlist

Auto-updates: When you edit the Google Slides presentation, the changes appear on screen within the next content cycle. No need to re-publish to the Alliance.

Limitations: Google Slides web publishing creates a static preview — animations and transitions play, but interactive elements (links, embedded videos requiring authorisation) don’t function in this mode.

Google Sheets Data on Screens

Google Sheets is a simple and accessible data source for screen content. The Alliance can pull data from a Google Sheet to populate screen templates:

Use cases:

  • A team leaderboard (rank, name, metric value from a Sheets table)
  • Product availability (item name, in stock yes/no, price from a Sheet)
  • Simple scheduling display (event name, time, room from a Sheet)
  • KPI dashboard (target vs. actual from a Sheet)

Integration: Use the Alliance’s Google Sheets widget. Connect a Google Sheet (must be shared with the service account), specify the range, and map columns to template fields.

Example: Sales leaderboard from Google Sheets

  • Column A: Salesperson name
  • Column B: Deals this month
  • Column C: Revenue this month

The Alliance fetches this data every 5 minutes and displays it as a live leaderboard on the sales floor screen.

Google Drive File Publishing

Publish images and videos stored in Google Drive directly to your playlists:

  1. Upload your image or video to Google Drive
  2. Set sharing to “Anyone with the link can view”
  3. In the Alliance, create a content item using the Google Drive file URL

This simplifies the content workflow for organisations that store their assets in Drive — no need to upload separately to the Alliance platform.

Google Forms and Survey Results

Display live Google Forms survey results on screens:

  • NPS results from a customer survey (linked Google Sheet auto-updates)
  • Event feedback displayed in real time
  • Employee engagement pulse survey results
  • Simple voting displays (“Which new menu item do you prefer?”)

Since Google Forms stores results in a connected Google Sheet, any Alliance Google Sheets integration can pull form results as they come in.

Google Workspace Announcements via Google Chat

Display messages from Google Chat spaces on screens — equivalent to the Microsoft Teams integration:

  • Company announcements from dedicated Chat spaces
  • Team-level updates on floor screens
  • IT alerts from the IT Chat space

The Alliance’s Google Chat integration requires a Google Chat webhook configured for the space.

Admin and IT Considerations

Authorisation: The integration requires a Google Workspace admin to authorise the Alliance as a trusted app. This is a one-time setup.

Service account: For enterprise deployments, use a dedicated Google Workspace service account for the Alliance integration, so access isn’t tied to an individual employee’s account.

Scope of access: The Alliance requests read-only access to Calendar, Sheets, and Drive resources you explicitly grant. It does not request access to Gmail, Docs, or other services.

Data handling: Room calendar data and Sheets data are fetched in real time and displayed transiently. The Alliance does not store your Google data beyond transient display caching.
