ROI comparison chart for digital signage versus print

The Print Cost Nobody Calculates

When organisations compare digital signage to print, they typically compare the hardware cost of one to the per-unit cost of the other. This is the wrong comparison. The right comparison is the total cost of ownership over the life of the asset.

Year 1 Cost: Digital vs Print

Single Location, 3 Screens

Digital signage (3 screens):

  • Hardware: 3× 55” commercial screen + Alliance Player — $2,400
  • Installation: $600
  • Alliance software: $588/year (3 screens × $196)
  • Total Year 1: $3,588

Equivalent print (same 3 locations):

  • Poster design per campaign: $450 (at 8 campaigns/year = $3,600)
  • Print production (8 campaigns × 3 locations × 4 posters): $1,920
  • Delivery and installation labour: $960
  • Disposal / removal: $240
  • Total Year 1: $6,720

Year 1 saving with digital: $3,132

Multi-Location: 10 Sites, 3 Screens Each

Digital signage (30 screens):

  • Hardware and installation: $24,000
  • Alliance software: $5,880/year
  • Total Year 1: $29,880

Equivalent print (10 sites):

  • Design (8 campaigns): $3,600
  • Print and delivery (10 sites × 8 campaigns × 4 designs × 10 posters): $32,000
  • Installation labour: $9,600
  • Total Year 1: $45,200

Year 1 saving with digital: $15,320

The Hidden Costs of Print

The print calculations above assume everything goes right. In practice:

Emergency reprints — A price changes, an event date moves, a product is discontinued. Emergency reprint and delivery costs are rarely budgeted and often 2–3× the standard rate.

Version control errors — Printed materials get to the wrong location, the old version gets used by mistake, or not all materials get replaced. Mistakes on displays create customer confusion and can cause legal issues with advertised prices.

Waste — Unused printed materials are landfill. For organisations running seasonal or promotional campaigns, the percentage of printed materials that get used before they’re superseded can be as low as 60%.

Complexity cost — Managing print across multiple suppliers, locations, and campaigns requires significant project management time. This rarely appears in the cost comparison but is typically 0.5–1 FTE at large organisations.

Year 3 Cumulative Comparison

Over three years, with hardware fully depreciated, digital signage costs approximately $0.40 per content display per day at 10 sites. Print equivalent costs approximately $1.20 per content display per day — 3× more expensive.

The ROI Beyond Cost

The cost comparison alone justifies digital for most organisations. But the return on investment extends beyond cost savings:

Revenue impact — Animated promotional content increases conversion vs. static print. Studies across retail and hospitality show 20–35% uplifts.

Speed to market — A price change or promotional message can go live on every screen in every location in under 60 seconds. Print requires days or weeks.

Compliance — Every screen displays exactly the approved content. No version control errors, no outdated materials.

Sustainability — Zero paper waste. Zero print disposal. Significant reduction in carbon footprint for high-volume print users.

When Print Still Makes Sense

Digital signage is not the right answer for every use case:

  • Menus placed on tables (interactive, personal, taken away by the customer)
  • Wayfinding maps distributed at a large event
  • Safety data sheets required to be posted at a specific location under OSHA
  • Situations where a power outage would leave you with no information at all

For fixed-location messaging in a commercial environment, however, digital signage pays back in under 18 months in almost every case.
