Using Digital Signage for Employee Communication

Team viewing internal communications on digital screens

The Internal Communications Gap

The average corporate employee receives 121 emails per day. The average open rate for internal newsletters is 32%. The average intranet page view time is 23 seconds. Meanwhile, organisations expect employees to be informed, engaged, and aligned with company goals.

Digital signage reaches employees without competing with email, without requiring a login, and without being ignored in a cluttered inbox.

Where Digital Signage Reaches Employees

Break rooms and canteens — High dwell time, relaxed attention. Ideal for company news, recognition, and upcoming events.

Production floor and warehouse — Where email and intranet don’t reach. Essential for safety communications, production KPIs, and shift information.

Lobby and corridors — Passive awareness of company performance, news, and culture.

Reception areas — First impression for visitors and returning employees.

Stairwells and lift lobbies — Captured audience with 15–30 seconds of dwell time.

What to Display

Company Performance

Displaying company performance metrics builds alignment and urgency:

  • Revenue vs. target (this month / quarter / year)
  • Customer satisfaction scores (NPS, CSAT, review ratings)
  • Key product metrics (units shipped, service tickets resolved)
  • Safety metrics (days since last incident, recordable rate)

Data displayed publicly creates accountability. When everyone can see the number, everyone contributes to it.

Employee Recognition

Recognition is the highest-impact, lowest-cost driver of employee engagement. Digital signage makes recognition visible at scale:

  • Employee of the month / quarter
  • Work anniversaries and service milestones
  • Peer recognition (“Thanks to @Sarah for staying late to fix the system issue”)
  • Team achievements and project completions
  • New starters (welcome new team members with a photo and their role)

The Alliance’s Slack and Microsoft Teams integrations can automatically pull recognition messages from your communication tools and display them on screens.

Company News and Announcements

Replace the weekly all-staff email with a rolling news feed:

  • Product launches and customer wins
  • New contract announcements
  • Press coverage
  • Leadership messages
  • Upcoming events and deadlines

Training and Learning

Short, punchy learning content performs better than hour-long training sessions:

  • “Did you know?” compliance reminders
  • Product feature spotlights for sales teams
  • Safety procedure reminders
  • Quick wins from the operations team

Benefits and HR

HR information displayed on screens drives utilisation of benefits that employees may not know they have:

  • Annual leave reminder (“Take your holiday — 30 days per year”)
  • Pension enrolment window
  • Employee assistance programme information
  • Upcoming HR events (annual reviews, training)

Integrations for Internal Communications

Microsoft 365 — SharePoint news articles, Viva Engage (Yammer) posts, Outlook calendar events, Teams meeting statuses

Google Workspace — Google Calendar events, Google Meet room status, Drive announcements

Slack — Post messages from specific channels to screens automatically

BambooHR and Workday — Employee anniversaries, new starter announcements, benefit enrolment reminders

Power BI and Tableau — Live data dashboards for KPI screens

Custom API — Connect any internal data source via REST API or webhook

Content Governance

For large organisations, managing who can publish what to which screens is critical:

Role-based access — HR can publish to all screens. Marketing can publish to lobby screens only. The warehouse supervisor can update the production KPI board without affecting other screens.

Approval workflow — Optional content approval before publication for regulated or brand-sensitive content.

Scheduled expiry — Content that is no longer current is automatically removed on a set date, preventing outdated announcements from lingering.

Measuring Impact

Measure the effectiveness of your employee communications screens:

  • Survey — Include a question about screen content in your annual engagement survey
  • Participation rates — Did recognition events, benefit enrolment, or training attendance increase after adding screens?
  • Safety metrics — Did incident rates decline after improving safety communication?
